Conduct Policy for Mentors on Sell Together
Effective Date: 1/27/2025
Purpose:
The purpose of this Conduct Policy is to establish clear expectations for behavior, professionalism, and ethics for mentors/coaches conducting virtual coaching sessions via Zoom at Mentors Coaching. All individuals must uphold these standards during their interactions with mentees to ensure a respectful, productive, and supportive environment.
Scope:
This policy applies to all individuals acting as mentors or coaches for mentees through Zoom or any other virtual platform used by Mentors Coaching.
General Conduct Expectations

Professionalism and Respect:
Mentors must maintain a high level of professionalism during Zoom sessions. This includes using respectful language, being punctual, and dressing appropriately (Business Casual). Mentees should always feel supported and heard. -
Confidentiality:
All information shared by the mentee during coaching sessions must be kept confidential. Mentors should not disclose any personal information or coaching details without the mentee’s consent, except when required by law or in situations that involve imminent harm. -
Punctuality and Preparation:
Mentors are expected to be on time for scheduled sessions. If there is an unavoidable delay or cancellation, the mentor must inform the mentee with ample notice. Mentors should also be adequately prepared for each session to provide relevant advice and value to the mentee. -
Behavioral Expectations:

Mentors must always engage with mentees in a positive, encouraging, and solution-oriented manner.

Discriminatory, offensive, or inappropriate language or behavior (e.g., harassment, bullying, etc.) will not be tolerated.

Mentors should avoid any behavior that could be construed as harassment, including but not limited to: making personal, sexual, or discriminatory comments.

Any form of inappropriate humor or behavior that may make the mentee uncomfortable should be avoided.

Zoom Session Etiquette

Appropriate Environment:
Mentors should ensure that their background during Zoom calls is professional and free from distractions. A quiet, well-lit, and tidy space is recommended to maintain focus during the session. -
Camera and Audio:
Mentors should ensure their camera is on for the majority of the session (unless agreed otherwise), and their microphone should be clear, with minimal background noise. -
Technology Readiness:
Mentors are expected to ensure that their internet connection, camera, and audio are functioning properly before the session begins. In case of technical issues, mentors should promptly notify the mentee and reschedule if necessary. -
Time Management:
Each coaching session should adhere to the agreed-upon time frame. Mentors should be mindful of time and ensure that each session concludes at the scheduled time unless otherwise agreed with the mentee.
Ethical Guidelines and Boundaries

Professional Boundaries:
Mentors should maintain professional boundaries with mentees. Personal relationships should not interfere with the coaching process. Inappropriate romantic or personal engagement is strictly prohibited. -
Conflict of Interest:
Mentors should disclose any conflicts of interest that may affect the coaching relationship. If a mentor feels that they are not the best fit for a particular mentee, they should respectfully refer the mentee to another mentor. -
Accountability and Follow-Up:
Mentors should encourage mentees to set goals, track progress, and review action items during each session. Mentors are expected to follow up on any commitments made to the mentee, providing appropriate feedback and guidance.
Consequences for Violations
Failure to adhere to the guidelines in this policy may result in disciplinary action, including but not limited to:

Verbal or written warnings

Suspension from mentoring duties

Termination of the contract with Sell Together
Each case of policy violation will be reviewed individually, with the aim of ensuring fairness and protecting the integrity of the mentoring program.
Acknowledgment:
By engaging in mentoring or coaching via Zoom for Mentors Coaching, Individuals acknowledge that they have read, understood, and agreed to adhere to the Conduct Policy.
